We have decided to start structural documentation in our company to help
our work and I have been searching for XML editor for this purpose. At
the moment I’m the only Documentation engineer in our company and I
would be the main user of the tool. Content for the documentation is
coming from several experts from different areas.

Then you'll have to choose an XML document type: DITA, DocBook or even XHTML5 (yes, XHTML5. See "XMLmind XML Editor - Creating an ebook out of a set of HTML pages", http://www.xmlmind.com/xmleditor/_distrib/doc/ebook/index.html).

I tried to learn about the product from your web pages. But I have a few
questions which would help us to know if this could be the tool for us.

  * The tool supports fully modular documentation, right? I mean that it
is possible to write for example a task and use this module in
several manuals and if update is needed it must be updated only in
this one module and by that way the update is imported to all the
manuals using this certain task module.

Yes, modular documentation is supported for DITA, DocBook or XHTML5 ("ebooks").

See all 3 tutorials about "Modular documents" in http://www.xmlmind.com/xmleditor/tutorial.html.

Start with "http://www.xmlmind.com/xmleditor/_distrib/doc/ebook/index.html";, http://www.xmlmind.com/xmleditor/_tutorial/modular_doc/index.html

  * We want to keep all the data in our own servers. Is this possible?

Yes. I suppose you'll use a shared Windows drive, but after installing the corresponding add-ons, XMLmind XML Editor can use WebDAV, FTP, FTPS, SFTP (ssh) and Google Drive servers.

  * I read that the tool doesn’t integrate with revision control
software, for example GIT. How the revision control is handled with
the tool? How about status of the modules. For example draft,
    review, accepted (closed)?

XMLmind XML Editor indeed doesn't integrate with revision control software so it's up to you to find a way to use your RCS with XMLmind XML Editor. Sorry but we cannot help you here.

  * Is it possible to publish the documents straightly from the tool?
    For example in pdf.

Yes, PDF, RTF, WML, ODT, DOCX, HTML, WebHelp, EPUB, etc. Including uploading the published to content to a remote WebDAV, FTP, FTPS, SFTP or Google Drive server.

See for example, DITA's "Convert Document menu" in http://www.xmlmind.com/xmleditor/_distrib/doc/dita/help.html#map_menu

  * Is it possible to customize the document template? Colors, add
    company logos…..

Yes, this can been done to certain extent from within XMLmind XML Editor by using our helper application called "XMLmind XSL Customizer".

See The "Customize Document Conversion Stylesheets" dialog box, http://www.xmlmind.com/xmleditor/_distrib/doc/help/com.xmlmind.xmleditapp.app.part.ConversionStylesheetsEditor.html

See The "XMLmind XSL Customizer" application, http://www.xmlmind.com/xmleditor/_distrib/doc/help/com.xmlmind.xslcustom.Customizer.html

What can be done within XMLmind XML Editor is more limited for DocBook documents than for DITA and XHTML5 ebook documents.

However please note that depending on what you want to do this can potentially be a time consuming task and that we won't help you in doing that. (We sell a relatively inexpensive application, not a service.)

  * Is it possible to import content in different formats? For example
we are using designing tools which include almost ready made
documentation and data can be exported from the tool at least in XML

Please note that "exporting to XML format" does not convey much information about the export capabilities of your design tools.

XML is used to define *vocabularies* and *grammars* (called document types or schemas) to express things.

- DITA and DocBook are XML vocabularies designed to specify technical documentation.

- XHTML is an XML vocabulary designed to specify a Web page.

- WordprocessingML is an XML vocabulary specifying the native format of Microsoft Word 2007+.

    and HTML formats.

XMLmind XML Editor Professional Edition has just:

- Import from DOCX (native Word 2007+ format) *very* *advanced*
facility. Requires the DOCX to have been created by Microsoft Word 2007+, and not by any other tool. Requires installing the corresponding add-on.

- Paste from Word (that is Microsoft Word) very advanced
facility. Requires the clipboard content to have been created by Microsoft Word 2007+, and not by any other tool. Built-in.

- Paste as paragraphs, program listing, list, list items, table, table rows, etc. This works after selecting and copying some plain text in another application (e.g. a Web browser).

See for example, DITA "Paste As" in http://www.xmlmind.com/xmleditor/_distrib/doc/dita/help-2.html#topic_menu

  * So the pricing would be for one license 300€ and it includes updates
for one year. Next year is only 30% (90€) if the license is renewed
six months after this one year period the latest. Did I understand
    it right?

Yes. But you are not *forced* to renew your purchase as our licenses are perpetual. The customers who renew their purchases do that only to access new versions during one more year.

  * Is one license only for one named user? Just wondering for example
    backup persons during holiday season.

No. Our User License is "floating" license. 1 User License is for 1 *concurrent* *user*, whatever this user, her/his computer, her/his operating system, whether she/he is an employee or an external consultant, etc.

See column about "Professional Edition User License" in "Which license to choose?", http://www.xmlmind.com/xmleditor/which_license.html
