[GNC] Loan to family member: How do i setup the account structure

I have lent monies to a family member and now wish to track the balances on an 
ongoing basis.  I have been looking at the guides etc but just cannot 
understand the concept / account hierarchy given my circumstances.

The software I am using is:

  *   Version: Version: 4.1, Build ID: 4.1+(2020-07-25)
  *   Windows 10

My location/currency is:

  *   GBP, UK Based

My Gnu Cash account setup is:

  *   I have a cheque account
  *   I have a savings account 1
  *   I have a savings account 2
  *   Plus others.

My use case is:

  *   It will be an interest free loan
  *   My family member has borrowed £2000
 *   Loan taken from Savings account 1 into
 *   Cheque Account then electronically bank transfer
 *   To family member bank account.
  *   A repayment is made each month
  *   The family member transfers a set amount, say £100.  This is 
electronically deposited into my bank Cheque account
  *   To date, I have electronically bank transferred monies into Savings 
Account 2 and updated gnu cash
  *   I have no immediate report of monies repaid / outstanding.

My preferred outcome:


  1.  To track the Principal amount of £2000
 *   To track each payment into my Cheque Account from family member - 
normally monthly (once bank transactions have been uploaded into gnu cash)
 *   To understand how much has been paid - to date
 *   To understand how much is outstanding
 *   To transfer each repayment into Gnu cash Savings account 2 and bank 
account
 *   To be able to get reports on the above.


Given the above, I would be most grateful if you can advise what account 
hierarchy / transaction splits etc I need in Gnu cash to support the above?

[GNC] Register columns: The balance column is no longer visible

The 'balance' column is no longer visible on one of my accounts.

I have reviewed the questions / suggestions around this subject - there seem to 
be many!

I have attempted to perform the following to no avail;


  1.  My register is at full width of my screen
  2.  The horizontal scroll bar is at the far right
  3.  The vertical scroll bar is visible
  4.  The balance column is no longer visible
  5.  In an attempt to show the 'balance' column I have;
 *   tried reducing the size of other columns

  i.especially the description 
field which seems impossible!?

 *   increased the size of other columns by highlighting the right edge of 
that column
 *   decreased the size of other columns by highlighting the right edge of 
the column - to no avail
 *   double clicked each column to maximise the width - to no avail
 *   I am unable to view the balance column as it appears to be a very thin 
black line (more than one?) and it seems impossible to locate the column!
 *   I have closed the screen and reopened - to no avail
 *   I have closed gnu cash and restarted to see if column widths are reset 
- to no avail.

Has anyone got a resolution for this as I have spent so much time in trying to 
resolve.

Is there a column setting I can change?  Or am I missing something?

To reinforce what John said. I am also occasionally having issues with column 
widths. Running 4.1.4 on MacOS 10.15.6. Sometimes the columns are not wide 
enough to display all of the digits. Yesterday the cleared/reconciled column 
was too narrow to see anything, just two vertical column separators. I can drag 
the column separators at the top but when I release them, they the columns 
widths do not change. A related issue is the default width for the description 
column takes up 2/3 of the window, far more than I normally or have ever 
needed. But the real issue is that they can't be adjusted and are sometimes not 
wide enough to see the contents.

two major reports (pretty printed) one for membership annual meeting and 
one for semi-annual meeting (as in the first case, probably using the 
rougher form to fill out government forms). But also a report for every 
monthly meeting of the finance committee.


Still think adjusting before each report a good idea? BTW, two of those 
three examples "churches" << quotes because not Christian churches >>

Maf, thank you for your email.

The column lines are so close to the vertical bar the column (Charge and 
Balance) lines just seem to blur together as one.  There appears to be no 
opportunity to "highlight" the balance column line
If I touch the line(S) I either get the symbol for expanding left or right or 
the mouse pointer overlaps with the vertical bar!

As you are probably aware it is like "splitting" 2 thin lines.

I presume that you currently "expense" the loans.  They really are not
an "expense" but a change of asset (from your savings account to a
receivable.


1.  Add a new Asset account called "FaF Loans"  (Friends and Family
Loans).  Mark it as a placeholder.
2.  Under FaF add a new account for each person to home a loan is made.

For your use case enter the following transactions:
A.  Transfer £2000 from Savings1 to Checking.
B.  Transfer £2000 from Checking to FaF:Family1

Note:  If both happen at the same time, you could combine them into a
multi-split transaction with Checking having two offsetting splits.

 
C.  £100 from Faf:Family1 to Checking
D.  £100 from Checking to Savings2

Note:  Doubtful that the above two transactions happen at the same time
so shouldn't combine.

By looking at the transactions for each of the sub-accounts in FaF you
would see the original loan amount plus all the payments.  The account
balance would be the outstanding balance.

Now, if you should charge interest, the interest portion would be
income.  I presume that you already earn interest on other accounts so
would already have that account setup in the Income area of CoA.

The payment would then be split with FaF:FamilyX and Interest-Income on
one side and Checking as the destination.

That's a section in the tutorial about storing your data. And the note on 
availability of the three 
sql backends mentions you may have to install libdbi and the appropriate dbd 
(sql) backends.

The financial statements don't have to be accurate every day, it is only at
closing dates when adjusting entries need to be made.  For an organization
which uses cash accounting on a daily basis, e.g. perhaps recording revenue
only when cash is received to avoid having to create invoices in the
accounting system, the adjusting entry at the end of the year would be to
go in the opposite direction, to recognize some amount of accounts
receivable for work done already in December.  For example there is a
for-profit company i know that doesn't bother to invoice because they
always require payment from the customer before they will hand over their
completed custom product.  And while it might again come across to some as
fraudulent or lying or the like, but it happens to be okay by GAAP to make
this entry dated December 31 at a later true date, after the amounts are
known from the actual payments being received during January, so that the
prior year financial statements give a correct picture.   Others adjusting
entries are to recognize depreciation if any, to recognize any extra
accounts payable or receivable or prepaid expenses or unearned revenues
(where cash has been received from a customer but the work hasn't yet been
done) that one knows about but which haven't been recorded yet.  These
might only be done at quarterly closes or only at end of year.   It simply
is not necessary for invoicing status to be correct at every moment.

About invoicing members of a nonprofit, I hadn't even thought about using
accounting system to ask them for their annual fees.  Possibly it could be
efficient to do that way for some nonprofits, but in nonprofits that I know
the membership info is kept in a separate spreadsheet, with address list
used in a mail-merge (at least I hope they don't handle each new letter
individually), handled by membership person(s) instead of accountant.  So
there is a whole lot of duplication to the accounting system where each
payment received must be entered from scratch, and possibilities for
errors.  "Membership database" softwares exist that allow members to pay
dues at a website in a way that doesn't require separate accounting
entries, and allows them to update their info and allows many reports, and
supports much more.  Including one true freeware package developed under
Gnu Public license or similar that sounded good and I would be interested
to try, but it has warning that its developer-programmer no longer will
provide support (maybe it was one of those reviewed at
https://blog.capterra.com/top-7-free-open-source-membership-management-software-products/
?).  It would be _awesome_ if someone could take over one of these and make
it compatible with GnuCash!

Thanks Derek, yes I've tried that.  Unfortunately the data is just not there. 
I think I'll go back and just dump the transactions, and do the tab
delimited file import instead.  A few hours lost unfortunately.  Cheers -
ABN Amro do not make it easy for customers to manage their own transactions!

[GNC] Import transactions

   I need to import bank data csv into Gnucash accounts.

   So far with some limited success.

   I am unsure from the user manual of the required column headings

   in the import wizard screen.

   If the data to be imported is say:

   into account ASSET: BankXYZ

   date

   description

   deposit

   withdrawal



   and I need to place transactions in various other accounts say:

   INCOME:Sales

   &

   EXPENSES:Purchases



   My confusion comes with understanding drop down list headings:

   ACTION

   TRANSFER ACCOUNT

   TRANSFER ACTIONetc.



   What are the Column Headings for the above scenario?

[GNC] Shortcuts and Sorts

Have two questions.

In Quicken I could sort by the reconcile column, but don’t find that in this 
program.

In Quicken I could stop autofill (shortcuts) I don’t write checks or entries 
for the same amount all the time.  It is stupid to think that I go to the 
grocery store and I buy something for exactly the same price each time.  Or 
that my electric bill is the same every month.  It takes me more time to 
correct the autofilled amounts.  How do I turn this off?  I can’t find that in 
the help.

Otherwise, I really like the program over Quicken.  I was using an older 
version of it and they now want to charge every year for personal use if I 
update the program.  I don’t want to pay money each year for any program for 
personal use.  One time, yes.

Thank you for the program and please help.  If these aren’t options, can they 
be in a future release?

I would say that it takes very little more time to type Ctrl-A in the
amount field before typing the desired amount.  If you really don't want
any fields pre-populated, type some bogus character before the autocomplete
kicks in to prevent it from acting.

I don't have that issue in my workflow pattern, so I don't recall the best
way to trick it into submission.

Walter,

In my opinion the advantage of the auto-filled transactions is not the amounts 
but that it adds lines for the required accounts. When you tab into the amount 
columns it doesn't matter whether it is blank or filled with something from the 
previous transaction. It is selected and when you type in the current amount it 
replaces whatever was there.

I think they are great, but if they don't work for you, I can't tell you how to 
turn it off.

That's a section in the tutorial about storing your data. And the note on 
availability of the three 
sql backends mentions you may have to install libdbi and the appropriate dbd 
(sql) backends.

I have to say that I am with David on this one.  The autocomplete is one of the 
most handy items that GnuCash has - IMO.  Your rent or mortgage are usually the 
same amount each month.  If you are on any kind of budget plan - your electric, 
phone, gas bill, garbage bill, water bill, all have the potential to be the 
same every month.  If you have a landscaper, pool maintenance person, pest 
control service, etc., those are usually the same every month.   And it is not 
just the amount - it is the contra-account that they go to as well (being 
pre-filled).

Finally, with respect to the reconciliation, many people write very few checks 
anymore (I think I wrote one check last month).  So to me, (though many 
disagree), the R and n usage is moot (I don’t use it and don’t care to).  My 
bank balance and my GnuCash balance are almost always the same.  But even in 
the case where you write many checks and need the recon feature, sorting would 
not be something I would do -- I prefer having everything in date order as the 
program has it natively. 

Regardless of all of that -- I moved away from Quicken 3 years ago and it was 
the best move I ever did.  This program is a gem -- and beats the hell out of 
paying $70 or $80 or more every year just to do what this one does for free 
(and does a better job I might add!).  And the developers are pretty darn good

I missed the question about sorting by the reconciliation status.  After
you have several months data reconciled, there is little need to sort that
way, as almost all the unreconciled items will be near the end anyway.
GnuCash has a View > Filter by > Status which you can use to (temporarily
or permanently) hide all reconciled transactions, or do a lot of other
things as well.

When you use the reconcile feature, no reconciled items will appear, so
they are not cluttering up that process.

The purpose of the drop down headings is to tell Gnucash what data you 
have in each column of your CSV file.


Another useful technique is to *export* some similar transactions to 
CSV, examine the structure of the CSV file produced by Gnucash, then try

1. Hover the mouse over the column separator to the right of the 'Total 
Credit' header (or 'Withdrawal' or other, if you are using informal 
labels) as this is the column just to the left of the Balance column


2. When you have the left-right mouse cursor, drag right. This *should* 
expand the Balance column. (there is another hidden column to the right 
of Balance, but it would be odd to be able to show it)


3. Grab the right-hand divider for the Description Column and drag it to 
the LEFT - more than you think you need to. It will snap back to the 
right, taking up only the space not assigned to the other columns.


This should also get rid of the horizontal scroll bar.

*note—register widths are *per account register*. If you are in the 
Checking account and set these widths, then open a different account, 
the same widths will *not* carry over. (the devs are working on this, 
but this is the current situation)

Read my replay to John on the steps to resize.

You can double click a column header to auto-size it to contain all 
digits/text.


Then drag the right-hand divider for the description to the LEFT—far 
more than you need to, and it will snap into place taking up only the 
width *not* assigned to the other columns.


And again, these widths are *per account*, for now. (Bills and Invoices 
can now carry over your column widths but account registers are still 
one-at-a-time.)


For all columns *other* than Description, drag to the RIGHT, or 
double-click for auto sizing. For the Description, drag far LEFT and 
release.

And the others chimed in with personal comments on the auto-fill.

You can't turn it off, but you can stifle it as noted with an extra 
character or so, tab over, then shift-tab to correct the extraneous 
characters.


I too find the autofill a massive time saver. I record every single 
receipt, line by line. Certainly, it is rare for many of my receipts to 
be the exact same. The advantage is in filling in the splits for each 
line item.


If you end up with splits you don't need, you can right-click them and 
choose 'Delete Split'. There is also the option to 'Delete other splits' 
so you can keep just the one you want.


I think there is a bug report and maybe even work being done on 
multi-selecting splits for deletion, but I don't know when that will 
make its way to us. It would be another huge time saver.


Another advantage to autofill is that I put lots of detail in my split 
memos. Some of that stuff like grocery items is recurring from time to 
time, even though not every trip, and I have quite a nested tree of 
accounts for tracking that stuff. When I start typing for example, 
"Beef"... the previously assigned account automatically is populated for 
me. If I start typing "Beer"..., I get the same.


For nearly exactly recurring stuff (like a cable bill) the amounts may 
need to be changed, but the account assignments are done for you. That 
is not only a big time saver, but it also removes occasion for error in 
selecting the wrong one by mistake.


It took some getting used to at first, but I am much faster with it than 
without.

Thanks Adrien,

After reading this thread, I have experimented with hovering over the dividing 
lines in the header, then double clicking and it does indeed fix the problem of 
columns too narrow to show all digits. Also, thanks for the explanation about 
the description filling the available space. I see that now, but didn't realize 
that is what it was doing.

You can double click a column header to auto-size it to contain all digits/text.

Then drag the right-hand divider for the description to the LEFT—far more than 
you need to, and it will snap into place taking up only the width *not* 
assigned to the other columns.

And again, these widths are *per account*, for now. (Bills and Invoices can now 
carry over your column widths but account registers are still one-at-a-time.)

For all columns *other* than Description, drag to the RIGHT, or double-click 
for auto sizing. For the Description, drag far LEFT and release.

About auto-fill:

I have half a dozen categories for my grocery shopping, plus cleaning and 
household utensils that I can buy at the same supermarkets. I shop frequently, 
and I don’t buy big amounts, so there is a lot of variability. Putting the 
supermarket name into the initial Memo field brings up the last split, which is 
always wrong. So now, I just put a dummy value in there, and start with the 
total credit amount and account. If I’m disciplined about my descriptions, I 
get the split account filled out for me, which is handy, and I then just have 
to change the amount if necessary.

Some time after entering the credit, I can correct the memo entry. For example, 
my local supermarket is “Coles F.G.”. I just enter “Coles”, and I can go back, 
inset a space after “Coles”, and “F.G.” is auto-filled. Tab, Enter.

So, it’s a mixed blessing, but overall a time saver.
