It seems that with regards to Zack the question is rather if money
should be tracked separately - as it has been in the past.

You can always open your favourite spreasheet (sc, lscs, ocalc,
gnumeric etc.) and track incoming and outgoing money.  That's how we
did this in the past before organisations like ffis were able to
earmark money and provide a digital view to the money.

It seems that for Zack there should be no separation at all.  Maybe
you all should first discuss whether Debian and Debconf money should
be tracked differently or whether Debian organises Debconf donations
for Debconf are just donations for Debian.

To me this sounds more like it would would be helpful for you all if
the money would continue to be earmarked differently in the future but
that the Debian project leader and accountant should get a view to
that money as well.

In case that the conference doesn't end up with a sum of zero surplus
money would be moved to the Debian pool.  I case of a negative sum the
leader approves to move money from the Debian pool to the conference
pool.

It seems to me that it'll be easier for you to keep the accounts
separate.

The problem that you (leader@) doesn't have an overview on what's going
on at the conference part can be solved quite easily by extending your
account.

There's one more thing that might help you in this discussion.  Let's
assume the accounts are merged.  How do the Debconf organisers get to
know the actual balance and can track incoming money?  Either they get
a view over the entire Debian money as well, or they query leader@ or
auditor@ .

Maybe I don't understand this in detail as (a) there is only one bank
account for ffis used for donations, and that if your account is able
to view both the Debian and the Debconf earmarking you do get one
overview table with the sum of both earmarks and a total sum.  To me
this sounds exactly like what you are looking for.   ... as I wrote,
maybe I don't really understand the discussion.

Reminder: There will be a meeting to discuss the DebConf12 bids at 20
UTC on 1 March, on #debconf-team on irc.debian.org.

Everyone interested in where DebConf will happen in 2012 is encouraged
to read through the competing bids' documents and attend the meeting.

Agenda:

- Questions from bid teams about the bid process
- Question from bid teams about what others suggest they try to do on
any uncertain aspects or potential problems
- Questions to bid teams

A more formal meeting will be held later (probably on 15 March) to
lead to a decision on the DebConf12 venue.

I meant strictly people that don't have anything to do with Debian, until now!
Not to invite them to the sponsors-team per say, but ask them for
advice, their help on getting sponsors, but not giving them insight
into more "delicate" stuff.

I asked because i think this is a rather unconventional idea, but
seemed plausible since there's not enough ppl from Debian currently in
the sponsors-team, and it will be a huge problem in about a month or
so!

Oh, and once again, i call on all of you that can help by joining the
sponsors-team, to do it now!

[Debconf-team] DebConf12 decision meeting

Hey world,

as you might know from past mails there had been a short meeting today
where last questions around DebConf12 bids could be dealt with.

The major goal to sort out questions the bid teams might have did not
need to be kicked as they simply do not have any open question
currently. Instead we went through a little introduction of the people
involved and then through a set of questions to each of them.

But the most important part is that we decided that the next meeting in
which we should get a decision which of the 2 bids is going to host
DebConf 12 will be on

22nd March 2011, starting at 20:00 UTC

in #debconf-team on irc.debian.org (OFTC).[1]

I realized later that I will be at the FTPMaster meeting there. But
still, I should be able to make it. The venue has good net connection,
and its early in the meetings week, ...

Now, we do need people from global team to run this. I admit I havent
followed DebConf business much in the last weeks, so I'm out of date if
there is already something planned for this meeting. Still, I told
(after the meeting today) the bid people what I *guess* will happen:
Similar to last years, #debconf-team is locked down, with two of each
bid speaking, two or three global team members, and the rest speaks in a
discussion channels. Questions get piped from the third global team
member. And we work through the agenda.

Obviously I might be wrong, but we do have 3 weeks to work out exactly
how we want the meeting to go on. No matter what exactly the agenda is
(I *assume* similar to previous years?), we do need a modus operandi,
and I do volunteer to be one of the global team members to run it.
Whoever else? (Also, if there are people who want it badly and dont want
me, jump up and take it, then im out :) )

Also, as i said in my original mail: If this date doesnt work for other
global team members, it CAN be moved. My own schedule will make it
IMPOSSIBLE for me to join any meeting in April, and the .br people asked
to not have it on the 15th (due to carneval they cant deal with the
hotels until then), so in case its moved into April my above volunteer
no longer is valid. :)
