Provider Dictionary is solely in the hands of the IT Dept.  Although perhaps 
not error-free, our Provider Dictionary is in very good shape.  IT Dept 
provides timely additions/corrections to the dictionary via an email group that 
end users send their requests to.  We receive monthly updates from the Medical 
Staff Office regarding our own providers' privileges.  This takes some 
coordination and time, but we have found it extremely valuable; providers who 
can be chosen through POM are accessible based upon their MIS Provider 
Dictionary privileges.


Entry of new providers, in particular, are considered priority and completed by 
day's end, if at all possible.  IT Dept does the "research", as you put it, 
getting NPI #'s (previously UPIN's), state license #, etc.  We have a similar 
generic ordering provider also (until new provider is entered).  His name is 
PENDO (Pending Doctor).  End-user that requested the new provider is told when 
the provider is built, and that end-user is responsible for updating the 
registration where PENDO was used.  There is still some problem with PENDO 
getting his name on reports, but it is lessened. 

IT Dept also "controls" "provider number" that is required for interfaces to 
some of our other vendors.  We communicate this information to the super users 
for those softwares.

This Provider Dictionary centralization takes IT time that is not negligible 
(is that a double negative?), but has kept Provider Dictionary issues to a 
minimum.

Hello L-list,

We frequently have patients who present to Admitting to register for outpatient 
Labs or Imaging studies ordered by a physician or provider who has not yet been 
entered into our MIS Provider dictionary. For the longest time we have used a 
generic “OTHER” as the ordering physician (in order to get the patient 
registered and taken care of quickly), with research and Provider dictionary 
entries made by our Medical Staff Office after the fact, and sometimes rather 
‘haphazardly’ at that. Because of the late entries, RAD reports often do not 
get sent to the ordering provider (but get ‘sent’ somehow to Dr Other), and 
with the new requirement for NPI numbers and claims potentially rejecting for 
no NPI, among other things, we know we need to find a solution to this 
situation.

 

Is this situation experienced by any of you? If so, how does your process work? 
I’d welcome any suggestions, comments, or ideas…..by the way, we are Magic 5.5
