We are in the beginning stages of setting up a Centralized Scheduling
office.   I would appreciate feedback from any facility who may already
have a centralized scheduling office up and running.  We currently
already use the Community Wide Scheduling module of Meditech but we are
using it in a de-centralized fashion.  Listed below is the main
information I am looking for at this point but I welcome any other input
that you may have.

1. How many schedulers do you have and what are the office hours of your
scheduling office? 

The goal is three, but currently only one. Office hours 8 - 5, M - F.
Phone message menu to leave a message or transfer to other departments
if Scheduler is not there. We are undergoing a major expansion, which
will create an office that will be staffed by three schedulers. But
since we went "centralized" last May, we've only used one full-time
scheduler -- with all the problems that's caused (coverage during
illnesses & vacations, older patients who don't like to leave voicemail
messages, etc.). We started out covering two major departments with
centralized (RAD & PT), but it was pulled back to just radiology now. 

2. Do you have an OR module and if so, what are you using? 

No OR module, but we do use SCH (de-centralized) there.

3. Do you schedule inpatient rooms, i.e. surgery overflow patients? 

No.

4. What departments are scheduled through the centralized scheduling
office, i.e. Surgery, Outpatient RAD, Outpatient LAB, Physician clinics,
etc.?

Lab was adamant that scheduling made no sense to them. Physician clinic
uses their own software (A4 (Allscripts)). Surgery does it de-cent, but
very successfully, supplemented by lots of nice NPR report packages.
Only RAD is done through cent sched now.

5. Do you have any job descriptions that you could send me for the
schedulers? 

It was actually never written. We did put together a list of
responsibilities, I can send you that if you'd like.

6. Is the scheduling department it's own department or does it fall
under the umbrella of another department, i.e. Patient Accounting,
Admissions, etc.? 

Under the wing of Admissions now.

7. Are you doing any type of Medical Necessity checking during the
scheduling process?

No.
