AFAIK it is not possible and your only option is using labels.
If you enable IMAP support and use Thunderbird, then you can move messages
into folders - but in gmail the messages just are tagged with a label that
is the same name as your IMAP folder.

I think you are better off using proper CRM software then setting up a DB
and using gui admin tools to enter data. What may be an 'overkill' feature
in CRM initially may become useful in the future.
