All of which begs the questions that Derek asked earlier: do you have accounts
of *type* A/P and A/R, and are they in the proper currency?

Hi Megan,

the following comes from my tracking of a "multi-currency" card in GnuCash,
though I can't speak to the "windows" side of your environment.

One way to handle this sort of thing, or at least one thing to try out to
see if it works for you, would be to create a "top level" Asset account
called

Paypal

Then create sub-accounts below that called

AUD Balance
GBP Balance
EUR Balance
SEK Balance

each with the Security/Currency set to to be the "foreign" Currency.

Beneath the top-level Expenses account, similarly create accounts
such as

Forex Purchases EUR
Forex Purchases GBP
Forex Purchases SEK

again with the relevant Security/Currency.

Now, when you make. say, a "Forex Purchases SEK" purchase, you could
withdraw the money from the

Assets::Paypal::SEK Balance

which would be a Transaction (TXN) soley enacted in SEK. but which
would leave you needing to "move" some AUD into the SEK Balance, so
as to leave that as 0.00) at which point you would be able to record
the AUD-SEK exchange rate.

You might not even need the

Assets::Paypal::AUD Balance

account, depending on where you withdraw the AUD monies that go via
Paypal, but, having that account as a "staging" account might help
you keep track.

As I say, set up a test Gnucash file an play around

Depending on which currency Paypal deduct their fees in, you might
also want/need to create Expense accounts for, say

Forex Fees AUD
Forex Fees EUR
Forex Fees GBP
Forex Fees SEK

and play around with a few TXNs to see if you think that lets you
keep a better record of where your money went.

I have a similar setup, but in USD. I just do everything in USD - when I
purchase something that is 39.99 AUD, once it gets charged to my bank
account or credit card, it will be in USD, and I enter it that way, usually
with a note in the Memo about what I paid in the "other" currency.

I don't know that I can add much to the other responses.

I used this back when I used Quicken, and it was handy, for those
institutions that supported it. It seemed more complex to get going in
GnuCash, so I decided not to use it... that was 7 years ago, and I have not
missed this feature.

This is something I've tried to get working on my Windows machine and on my
iMac; the only machine that has done this simply and easily is my Linux
machine (Ubuntu 22.04). I have been able to get them working for a while on
Windows and/or iMac, but then something breaks. I finally decided that I
can get by just fine without this feature... the places I have investments
have tools to show good price history.

I have used Quicken and Quicken Home & Business for over 25 years, so I am

I'll probably get accused of heresy by the GnuCash faithful, but, to be
honest, I didn't really see a difference (from the user perspective) in
entering transactions in Quicken and GnuCash. Every transaction in Quicken
needs a "category" to record the income or expense. GnuCash isn't that
different, but they use accounts instead of categories. A simple
transaction, such as purchasing a coat on a credit card is the same in
both: Your credit card balance (what you owe) goes up and the
Expenses:Clothing account (GnuCash) / category (Quicken) increases by that
amount. (I know that categories and accounts are different; I am talking
about what is done to enter a transaction appears to be very similar in
both GnuCash and Quicken).

Question 4: Which perspective should I adopt when looking at a transaction?
> I stand in my account and pay out using the Debit column, or I stand in the
> Coat account and use the debit column (correspondingly, the bank account is
> the credit column)?
>

If you find the Debits/Credits labels confusing, you may went to go into
the Preferences (maybe Settings?), go to the "Accounts" area and UN-check
the "Use formal accounting labels"

All accounts have DEBITs and CREDITs in that order. For the coat
transaction above, it is a DEBIT (first column) to the Expense:Clothing
account and a CREDIT (second column) to your credit card (or bank account,
if you used a debit card or check).

Further to this last, as I said, I use Paypal as a pass through conversion

As I noted above, I just enter the transaction as if I'd made it in AUD,
with (usually) a entry in the "Notes" as to what I paid in the other
currency.

Well, but think about it... after the password is entered, THEN what? The
"correct" password would have to be stored somewhere so that GnuCash could
verify what is entered is correct, and clearly saving the password in clear
text is not secure. Because the software is open source, anyone could read
the steps taken to secure the password, and that would be a huge help in
breaking the password.

Re: [GNC] New Australian user questions

2024-09-10 Thread sunfish62--- via gnucash-user
If it were me, I'd just register everything in AUD, as an earlier person
suggested. If everything comes through PayPal as AUD, why engage in this
complexity? Is there a compelling reason to track costs in the original
currencies?

Having lived in a number of different countries around the world, I've only
created native currency accounts for a very limited number of things, things
where I was paying out in a local currency from a local currency-denominated
account, such as a local bank account. That just makes reconciling a little
easier.

Transactions from my native currency to a local currency (e.g., when I buy
something in a local store but use my native credit card) I register only in
the native currency.

Is there something I'm missing here?

Re: [GNC] Recommendations for hosting gnucash file - Google Drive, Microsoft 365, Local server?

2024-09-10 Thread David G. Pickett via gnucash-user
Of course you need to select an algorithm in a compatible library, of which
there are many.  I was just responding to the idea that a unchanging common
password would be hard coded is open source, a very odd idea.  If you used
triple DES, for example, all the open source would show is that you used triple
DES and got a password from the console.

I have coded things like this, and found several ways to keep the password out
of the code, like asking the user for it at the start.  GnuCash would hold it
for use when it saved, so I suppose you might find it in a crash dump file, if
it crashed, and a core dump was generated, and that got shared into an
untrusted space, like with a shared folder as current working directory.

we users can find a solution outside of their bailiwick.

Re: [GNC] Recommendations for hosting gnucash file - Google Drive, Microsoft 365, Local server?

2024-09-10 Thread David G. Pickett via gnucash-user
Generally when you type in a password to anything, it is stored in a variable
in memory, virtual memory, possibly written to swap space, but those memory and
disk spaces are protected and ephemeral, so there is no easy access to them and
even then, they are hard to decipher.
In theory, one could encrypt it using a one-session generated random password
just to make it hard to find in a core dump file or if someone cared to search
your swap file pages.  Then at write time during that same session, it can be
decrypted for use.  Many encryption systems actually digest the password into
binary keys and discard it.  I am no expert, as this is a fast evolving area.

Since we all type in passwords all day, there are industry standards one can
follow on how to acquire them, store them, use them.
GnuCash might also want a password after any period of inactivity, to protect
your data from house guests and the like.  While PCs tend to promise this, I
see them not timing out oh so often.  Web sites often do this.

Re: [GNC] Vendor posting problem

2024-09-10 Thread David Cousens
Heidi,

Please don't reply to my direct email address, but send your reply to
gnucash-user@gnucash.org. It will reach me through the mailing list in
any case. Your message will not reach the mailing list unless you do
this.  While it can be confusing to deal with replies from multiple
people, it usually helps to sort out difficulties more rapidly as you
get access to a wider range of expertise and experience.

It will also pay to send answers to any questions asked particularly by
Derek (or John Ralls or Geert Janssens ) as Derek was the major
developer of the business features and Derek, John and Geert are the
core of the development team for GnuCash but also fairly busy.

If there is no account for selection in the Post to Account part of the
dialog then it is likely you have a problem with the account setup.
Then as Derek asked earlier do you have an Accounts Payable account and
what currency is it setup with? Is it the same as your default currency
for the book?

To find out, if you go to the Accounts tab in the main window, if you
have created Accounts Payable and Accounts Receivable, they normally
appear as the first two accounts in the displayed chart of accounts.

If you do see AccountsPayable and Accounts Receivable on the Accounts
tab, if you didn't set them up with the Actions->New File Heirarchy
menu item (it is normally run automatically during the initial GnuCash
setup) and you have created the Accounts Payable and Accounts
Receivable manually, they may not be setup correctly which would
explain why they don't appear in the dialogue.

If you right click on the Accounts Payable in the accounts tab you will
get a drop down menu. Select Edit Account from that.  In the dialogue
box check that the Parent Account is set to "New Top Level Account"
(and not Asset Account), the account type is set to "A/Payable" and the
correct currency is chosen. The Accounts Receivable has the same
setting for Parent Account  and account type is "A/Receivable".

If they don't exist there then you have likely not set up the business
features in Gnucash.

In which case clickon  the Actions-> New Account Heirarchy  menu item
to run a dialog In the third step in the dialogue make sure the
Business Accounts checkbox is selected.  You may want to select other
accounts which may be relevant to your situation as well, if you
haven't done this previously.

Re: [GNC] New Australian user questions

2024-09-10 Thread Megan Tilley
Stephen and Geoff - thank you so much for such comprehensive answers
and yes, I am currently re-reading my Finance Textbooks to refresh my
memory of Double-Entry bookkeeping! The issue, I think, is that Quicken
really dumbed down my comprehension because it handled the double-entry
stuff behind the scenes.

Your responses have alleviated my stress considerably and I am now able to
view my situation much more clearly.

Removing the need to record exchange rates is a great benefit to me and I
believe I confused myself when reading the manual/help guides. Having you
both indicate an easier way is a relief.

I look forward to any other assistance given me under this topic!!!

Thank you again!

Re: [GNC] New Australian user questions

2024-09-10 Thread Megan Tilley
Hi Geoff! Thank you so much for your response and between you and Stephen,
I can see that the majority of my questions have been answered.

I have uninstalled both GC and Strawberry Perl and downloaded the two
source files again from their respective sites.
GC installed quite easily, as it did the first time around.
This time, rather than go through the documentation to install SP, I did
the install from the Strawberry Perl site, which did go a lot faster this
time around.

However, on starting GC up again and moving to the Security Tools/Edit
Security to update one of my Stocks, the Warning message "Warning:
Finance::Quote not installed properly." and the Get Online Quotes is
undetectable.

In scouring the message threads for an inkling of how to install F::Q I did
find a lot of similar problems listed for Apple/Mac users which sadly does
not help me as a Windows user.

I tried a solution suggested on an August 2024 message
https://lists.gnucash.org/pipermail/gnucash-user/2023-August/108274.html

which suggested trying *gnucash-cli* to check if there is an issue ---
Powershell produced this
PS C:\Users\kurri> gnucash-cli --quotes dump asx BHP
Price retrieval failed: Failed to initialize Finance::Quote:
missing_modules Finance::Quote

So I am assuming I need to load F::Q as a separate upload as the "Install
Online Price Retrieval for GnuCash" process did not appear to load it.
It would be great if a search produced a succinct response that addressed
"how to install F::Q in a Windows environment" without segueing into
computer speech using greps and such.

Any pointers you can give me?

Re: [GNC] New Australian user questions

2024-09-10 Thread Megan Tilley
Geoff - you little beauty bottler!!! YAY! it worked.

I assume you edited the results to the bare minimum in your instructions?

I am glad that my issue could be reproduced but sad that it requires a fix!

I could not decide whether I had to add all 3 installation commands at once
or one at a time and tried first off all 3 at once...

>>> >cpanm install Module::CPANTS::Analyse --force
2 distributions installed

>>> >cpanm install Test::Kwalitee
1 distribution installed

>>> cpanm install Finance::Quote [which I had to start with an
'enter'
24 distributions installed

So, "install Finance::Quote" was different to your results as your example
indicated "1 distribution installed" rather than the 24 distributions I
had.

I used Tools/Security Edit to check that I could select the investments.
No errors reported this time around and the 'Get Online Quotes' was
selectable, which I did, and then Multiple/ASX.
I ran the Get Quotes and there they were!
However, I did receive some error messages as though the stock was not
available on the ASX list to be updated, but that is an issue for another
thread!

Many thanks to you, and to Stephen, as I am now more comfortable using
GnuCash... No doubt you will see me back on the threads with another curly
Australian-based query!
And to R.Losey for their comments.

I am finding it easier to navigate through the morass of memories of
Quicken and translating those memories to my efforts of learning the many
benefits of GnuCash!
Not having to do that currency translation through PayPal is helping
immensely!

Re: [GNC] need help with Vendor post bill

2024-09-10 Thread Geoff Jankowski via gnucash-user
Hi Heidi,

You should really use reply all and not individual addresses so that the entire
thread is visible on the mailing list as others may offer better solutions.

In order to generate the bill you must have created at least one vendor so that
part looks to be OK.

If you have multiple vendors to manage you might want to consider a separate
sub-account for each under the main Accounts Payable account to enable easier
tracking of their invoices (bills).

If when you try to post the bill the A/C Payable line is blank and nothing
comes up when you click on the dropdown list it is because GC is not seeing a
valid A/C Payable account.

Go to the Accounts listing and find your A/C Payable entry. Right click and
select “edit account”. This will open the dialog box for that account. At the
bottom, is the box called “Placeholder” ticked?

If it is, this is your problem. A/C Payable in Placeholder mode does not
accept entries it just acts as a totaliser of all the sub accounts below it.

If this is the problem you either:

A Untick it and use that one account as the only A/C Payable account.
This will force all your payment liabilities into the one account which is not
good for analysis of individual accounts or for multi currency operations.

Or

B Set up a sub account under the Placeholder account for each of your
vendors and make sure that the Placeholder box is not ticked for the sub
accounts. They will then appear in the posting dialog box correctly.

Let us know how you get on buy posting your reply to the
gnucash-user@gnucash.org mailbox.

Hope this solves your problem.

Re: [GNC] Regular Expressions in Reports

2024-09-10 Thread Geoff

Hello Grace

The Transaction Report Options screen has a "Filter" tab that lets you:

(a) Include (or exclude) Accounts by filtering on Account Name using:
(a.1) A simple string of characters (eg "tax").
or
(a.2) A regular expression - see below.

(a) Include (or exclude) Transactions by filtering on Description using:
(a.1) A simple string of characters (eg "tax").
or
(a.2) A regular expression - see below.

GunCash uses the "POSIX" dialect of regular expressions, and this
document from IBM provides a good overview:

https://www.ibm.com/docs/en/watson-explorer/12.0.x?topic=queries-posix-regular-expression-syntax-examples

Thus:
^Tax means starts with "Tax"
^[Tt]ax means starts with "Tax" or "tax"
taxable$ means ends with "taxable"
202[0-3] means contains 2020, 2021, 2022, or 2023.

Do remember that regular expressions are CaSe sEnSiTiVe!

Hope this helps.

Re: [GNC] New Australian user questions

2024-09-10 Thread Geoff

Hi Megan

Glad to hear you had a successful outcome.

The difference in results is explained by the fact that I ran the
powershell installation script first - even though it failed at the end,
it did successfully install most of the necessary modules. Hence your
24 vs my 1.

So you are good to go - happy GnuCashing!

Hi Megan

Well, this must be frustrating for you.  I did a clean install on a new
Windows 10 machine, can reproduce this problem, and have a fix for you
to try.

When I ran the GnuCash powershell script "gnc-fq-update.ps1" to install
Finance::Quote, it ran for a long time (approximately 1/2 an hour) and
failed at the end with:

Building and testing Spreadsheet-XLSX-0.18 ... OK

To rectify this, open up a DOS Command prompt and run the following
three commands:

cpanm install Module::CPANTS::Analyse --force
cpanm install Test::Kwalitee
cpanm install Finance::Quote

The output should look something like this:

Re: [GNC] Question off-list

2024-09-10 Thread Geoff

Hi Megan

Please always post to the list. This is one of the friendliest groups
of strangers you will never meet, and you won't be flamed for asking.

I don't know how the list membership is managed, but hopefully someone
else can respond.

Hi Geoff - can you answer a list question for me as a user?

I applied for membership to the thread using the 'create an account'

is still being moderated with the reason "Post by non-member to a

Will that status ever change? or does every poster regardless of
membership get the same on their email list?

Thanks!

[GNC] Workaround for Finance::Quote 1.62 Installation Problem (Windows)

2024-09-10 Thread Geoff

Folks

I am documenting this workaround for a problem encountered installing
Finance::Quote. I have only tested this on Windows, but it should also
work on other operating systems.

When I ran the GnuCash powershell script "gnc-fq-update.ps1" to install
Finance::Quote, it ran for quite a long time (approximately 1/2 an hour,
and this is to be expected) and failed at the end with:

Building and testing Spreadsheet-XLSX-0.18 ... OK
Successfully installed Spreadsheet-XLSX-0.18
! Installing the dependencies failed: Module 'Test::Kwalitee' is not
installed, Module 'Module::CPANTS::Analyse' is not installed

! Bailing out the installation for Finance-Quote-1.62.
29 distributions installed

To rectify this, open up a Command prompt and run the following three
commands:

cpanm install Module::CPANTS::Analyse --force
cpanm install Test::Kwalitee
cpanm install Finance::Quote

The output should look something like this:

>cpanm install Module::CPANTS::Analyse --force
--> Working on install

So what does all this gobbledygook actually mean?
GnuCash uses a piece of open source software called "Finance::Quote" to
get exchange rates and stock/share/security prices. This software is
written in a programming language called "perl", and is maintained by a
separate group of developers unrelated to the GnuCash team. Such
anonymous cooperation is what makes the open source software world so
powerful. Anyway, one of the software modules that Finance::Quote
depends upon (Module::CPANTS::Analyse) failed its self tests when it was
installed. This workaround (using the perl "cpanm" command) forces it
to ignore the self tests and install itself anyway. Doing this then
enables all the rest of the Finance::Quote dependencies to be installed
successfully, which in turn means that you can use GnuCash to get
exchange rates and stock/share/security prices.

Re: [GNC] need help with Vendor post bill

2024-09-10 Thread sunfish62--- via gnucash-user
Geoff,

I believe that the business features allow tracking by vendor *without* using
the multiple accounts you mention. Others might be able to confirm this better
than I, though.
