It's probably also worth noting that more recent versions of Evergreen (I don't remember in which version it started) have streamlined the process of deleting volumes at the point of item deletion. Basically, if you delete an item that's the last one on a volume record, you're prompted to delete the volume as well. We make a habit of doing that to avoid the crummy search results previously mentioned. In the vast majority of cases, you're not going to want to keep the volume record.

Cheers!
Buzzy

Hi Mary,

I agree it would be simpler to delete the empty volume records but in our system I was told the empty record was kept so that in the event a replacement copy was purchased the MARC record would already be in place.

I don’t know if this answers your question or not. But I and my staff do find it a bit frustrating when we have to tell a patron that we really don’t have a copy for them to put on hold of that item.

What would be the consequences of simply deleting these records with "no copies" as we find them.  At least that way they wouldn't annoy us a second time.

I received an e-mail with the subject line: “Evergreen ahhhhh.”  It came from a library manager who was complaining about search results in the Evergreen catalog.

In PINES, we have lots of empty volume records (records with no copies attached) and they tend to pop up on the top of results when one does a search.  Frontline staff find this very frustrating and like to vent to me about it.

Is there anything that I can do in response besides tilt my head and look sympathetic?  Is there a report I could run to find these empty volume records -- or SQL command line or something?

Any suggestions are greatly appreciated. Thanks.
