Larry & Steve,  I did not attend the Gathering this year, but follow the KR net 
every day.  First, I want to thank Larry for all the years at Mt Vernon.  
Larry, you did an outstanding job as did Chris and many others...THANK YOU!    
Steve, I don't believe that you should incur ANY out of pocket expense, no 
matter what the reason.  The fact that you did the job, and an excellent one 
from all reports, is all that's expected from a host.  THANK YOU!  Now for the 
bottom line, I'm sure that Dan, Mark L, Mark J, Joe, Larry, and all other KR 
people will join me in offering to reimburse you for any out of pocket 
expenses.  I also know that you are too much of a gentleman to post those 
expenses publicly, so if you will contact me off net, I will be glad to 
contribute to those expenses.  Thank you both for your dedication to the KR 
family.

Everyone should know that there is a fund that is carried over from year to 
year and passed on to each host.  The purpose of that fund is to re-imburse the 
host for expenses occurred during, before, and after that are related to 
putting on the event.

Larry F. can discuss the details of this with the group and I hope he will, 
because everyone needs to understand where the funds come from and how they are 
replenished from year to year.

I am all for a fee, if this fund is not sufficient, but the Gathering has been 
going on for many years without having to impose a fee and if the host is 
getting hit with any expenses, that has been kept a secret from me.

PS: Thanks Steve.  I hope you were not out any cash, but I know that you 
expended a lot of energy and time, and it showed.

worlds largest clear span wood building (former airship hanger) and aircraft 
museum at Tillamook and world famous cheese factory and the Oregon Aviation

How to make a long story short?

I received the Gathering funds from Linda Bennett after the 2003 
Gathering in the amount of $1865.  With good luck and the generosity 
of the attendees, the fund grew to $5008 over the 9 out of 10 years I 
hosted the Gathering at Mt.Vernon.  That made it possible to host the 
Gathering without any out of pocket expenses other than purchasing my 
hat, shirt, banquet ticket, and the 100 mile round trips to Mt.Vernon 
for planning and setup.

In July I advanced $4000 to Steve, the amount he thought sufficient 
to cover expenses.  I still hold $1008 in reserve.  If Steve has 
uncovered personal expenses he could be reimbursed with the 
reserve.  As we have no formal management of the funds I accepted 
responsibility for holding them from 2004, the first year I hosted 
the Gathering, with the exception of 2010 when I forwarded them to 
Dana Overall when he hosted at Richmond, Kentucky.

The complete financial accounting for all years since 2004 (except 
2010 when Dana hosted) were available at the Gathering web site until 
Bob Lee was no longer able to manage the site.  I'm guessing they are 
available somewhere and I still have the statement for 2013 that was 
never posted with the $5008 balance.  The Gathering site has been 
pared down considerably but I can e-mail Steve the file for posting 
if desired.

That leads us to the question of "who handles the funds"?  I'm 
inclined at this point to forward the remaining funds to Steve.  He 
can combine them with the funds from this years Gathernig and forward 
them on to Dan for the 2015 Gathering.  I had felt rather protective 
of handling the funds after 10 years of having it grow to a 
comfortable working amount but the Gathering has moved on so I feel 
it's time for other host to accept that responsibility.  I'm not 
comfortable being responsible for something I have no control over.

The last 3 years were pretty much "break even" on expenses / 
income.  Hat / shirt sales generally have sales covering 
expenses.  The banquet was a bit of a money maker, maybe $250 to $300 
or so.  Awards were all expenses, no income.  The funds were able to 
grow over the years mainly through the generosity of the attendees 
with donations at the banquet when we "passed the hat".  The best 
year as I recall was in the $700 dollar range.  Attendance was down 
at Mt.Vernon the last few years but the fund held it's own at the 
$5000 dollar mark, going up and down by several hundred dollars each 
year.  We were fortunate at Mt.Vernon to not have a lot of operating 
expenses and great support from the airport and restaurant.  Not 
every location has that kind of backing.  I have the financial 
statement for the last three years, 2011, 2012, 2013, that I'll send 
to Steve.  He can post it on the Gathering site for your review.

I'm sure Steve will make a full report when he finds time to rap 
things up.  We'll see how it shakes out this year.

I am fortunate enough to have Kiku to take care of all the bookkeeping for
me.  This is what we does for a living and so I am happy for her to take on
this task. After a few of the shirt and hat orders are completed I will be
able to post the outcome.  Larry is right. Having a facility that provides
nearly all of your logistical support is huge.  We had to rent tables and
chairs, banquet was more than I expected with a few extras added in plus tax
and gratuity.  Awards add up quick as well.  We won't make money this year
given the location and items required but it shouldn't too bad either. Some
additional expenses we incurred this year was buying a new domain for the
Gathering website and a form site for the registration process. After
spending a ton of time trying to fix what we had I just started from scratch
to streamline the registration process. It made things much easier with my
time constraints.  

Many of the expenses I incurred personally were due to my not planning
properly for the workshops and last minute requirements the county placed on
me. I didn't feel these expenses should come from the Gathering fund since I
offered up the location.  Next time I will know better of what to expect.

My wife wants to put together a group to visit old town Portland & Saturday
