NEISA,

Is there an update? Can we have a NOR? The PCCSC Qualifiers are this
weekend and we need some details to make travel arrangements on Monday
morning (it's a long flight for Hawaii). Is there housing provided for
teams? Do you need numbers? I have a PCCSC ExComm Meeting Saturday night
at St. Francis YC during our qualifier and they are going to ask.

Thanks

Subject: [NEISA] Spectacular Semis in Boston

Dear NEISA-

The western semis at Harvard and the eastern semis at MIT will be hosted
simultaneously at the Fan Pier in Boston Harbor on May 2 and 3. Thirty-six
teams from around the country will compete on two separate race courses in
Harvard's and MIT's fleets of FJs. It is an enormous undertaking and we
would greatly appreciate assistance from all corners of NEISA. Sailors,
parents and interested folks who want to help make this a high water mark
for collegiate sailing in the country are encouraged to volunteer. The 70'
Volvo Ocean Race boats will be out of the water on cradles and the Pier will
be abuzz with food tents, alumni get togethers and about 400 collegiate
sailors. Stadium bleachers and a Big Screen will be available for us.

Again, we need your help to make this a memorable event for all. Another
great line on your resume? Please write us back in the coming week with what
you'd like to get involved with and we'll try to get all the positions
filled in the next 2 weeks.

Many thanks.

Semi- Finals Organizational Needs

Budget Manager-

Track all expenses. Coordinate receipts of sales by credit card as well as
cash/ check. Arrange for payment of caterers/ T shirts/ gasoline as needed.

Housing Coordinators-

Develop and maintain a list of available host families in a similar
geographic region for visiting teams. Develop a list with contacts and room
rates of hotels in Boston, Newton, Cambridge, Quincy. Arrange housing
opportunities with parents of college sailors from local area- must seek out
help from neisa teams. Seek out assistance from active sailors at Cottage
Park YC, Winthrop Frostbite, Boston Sailing Center and Mass Bay high school
sailing league. Many parents will want to come to Boston so all requests
should try to get filled. This is going to be tough as there is an
orthodontists' convention at the new convention center and 8000 rooms have
already been booked on that weekend alone in Boston! Prepare info for timely
responses as they get requested.

Security for Competitors Gear tent and dock area access-

Must arrange a system which prevents non-public access to this tent and dock
area. Wristbands for competitors and coaches/ different color for dinner on
Sat night. Organize a rotation of volunteers who can help manage this.

Uniforms and T shirt sales-

Dif color T shirts for all event volunteers? Perhaps, pinnies with our event
branding on them or referee pinnies if available from other sports programs?
Tshirt sales for competitors. An event branding is being completed right now
and we will be in a position to sell event shirts with entry. Sizing,
competitive bidding, delivery and distribution must be coordinated for all
competitors, volunteers and sales to spectators must be possible as well.

Dinner-

Manage tix sales with entry as well as sales on Saturday. We will bring food
sponsors to the caterer to help reduce costs and increase margin for us.
Security for food area must be rigid. Must also be able to produce receipts
for those purchasing.

Motorboat coordination-

Race management, jury, photo boat, VIP spectators (if sponsorship). Fueling
and payment arranged nightly with MIT/ Harvard credit cards. Proper tie off
in evenings, delivery on Friday afternoon and return on Sunday to home
docks.

FJ Boatswain-

Coordinate extra gear for sail or boat break downs. Tools, tillers, pintles,
pins, line, etc. Adjust rake in BC spare boats so that one is exactly like
an MIT set-up and the other identical to Harvard's. Must be available at
morning rig and every rotation as well as ready to fly out onto the water.

Media Coordinators-

Arrange for commentary persons for both race courses. Lifeguard chairs or a
scissors lift bucket for visibility? Call starts, OCS, mark roundings,
finishes, etc. Work with Premier Racing for mic and sound system needs.
Colorful writing skills needed for continuous updates on website. Coordinate
live camera feed to Big Screen in viewing area. Boat, driver, camera person.
Premiere has the camera and the big screen. Replay action during dinner in
the food tent area? Nat Taylor (neisa web master) from Conn will upload all
info to web site at collegesailing.org

Alumni Tent Rentals-

A leader is needed who wishes to organize alumni get togethers for sailing
alumni of all competing colleges in the local area. Tent space may be rented
and the caterers are on site to help make this a memorable event for the
competitors to meet their alumni and families. A potential revenue source
for our event, also. Head of the Charles Rowing events have done this for
years.

Scoring-

Dayan Paez (Professor FleetTrack) most likely to lead. Must coordinate with
media person for synch with big screen on site. Media writers must stay up
with the immediate postings.

Lunch Coordinator-

Coordinate and Distribute lunch to all race official volunteers both on
shore and on the water. Establish a distribution system so nobody gets
forgotten or over-looked. Assure prompt delivery. Set up and paid for in
advance.

Race Committee Equipment Coordinator-

Address all buoy and anchoring requirements. Harvard buoys should have
Harvard stickers on them and MIT should have MIT on them. All marks should
be clean and with adequate ground tackle- little mushrooms with a good
amount of chain. Pin end of starts should be large pink and all finish
buoys should be bright green. Other turning buoys should be consistent in
size and color. Starting systems and back up should be available, large X
Flag and an I flag for each boat.

Finishing boat-

Two or three persons in each boat with an orange flag for all finishes at
locations other than at the start area. One calls, one records and one
radios in for instantaneous update to scorers in media trailer.

Mark boat Tweaker/ Safety- One for each course

High Speed, quick hands and able to maneuver buoys expeditiously when called
upon by PRO.

Regatta Communications Supervisor-

Select and keep charged all Harvard and MIT VHF radios. Develop and
distribute a comprehensive list of all key persons cell phone numbers.
