I wouldn't worry to much about getting it "perfect". As I understand it, the screenshots should be close to the original, so that they illustrate the same stuff, but they need not be identical in every detail. As far as size goes, you can just scale them (if it doesn't make the blurry and all) until they have the similar sizes. The images in the documentation goes in an application like yelp or are translated into webpages, both of which are cases that can handle images that are of slightly different resolution without messing up the layout. One of the important things are just to make sure they don't become huge, as that will blow up the size of the installation packaged unnecessarily.
When I work with screenshots I usually just use the normal screen shoot button on the keyboard (possibly modified with alt to capture only the active window), copy to clipboard and import form clip board in gimp to make the necessary adjustments.
