Date of the letter and event from Sept 26 to 28, I think the letter should
specify the dates of the event.
The financial part will be good, but don't mention food as local team is
working to get a sponsor for that.
It be best as official letter with a letterhead as it will be on their
local records. PDF will be good
Not plain English will do ok.
