Hi Soumyendu Paul I'm not exactly sure what you want. So here's my understanding "If user makes any changes in the file he/she has to click the Send mail button before closing the file and you have code for sending the mail " A simple way is to use activex control button instead of the shape you have used.
I have included both shape based & activex based code in the file. choose what you want.
