A Moving Experience:  Tears and Cheers Open Session 2017, Wroclaw, Poland

Moving library collections has become a necessity for libraries around the 
world as buildings are damaged, or require renovation, or best of all when a 
library collection is being moved into a new facility.  This session will 
explore the three stages of moving: planning before the move, providing access 
services during the move and evaluating and resolving issues unanticipated 
after the move.  What are the needs for planning a move, large or small, how do 
you anticipate the appropriate protection for the collection, how do you 
inventory or document materials going to storage or being relocated 
temporarily,  and how do you take advantage of a move to solve preservation 
issues?  Can a move enable added preservation actions for collections to 
protect the materials during a move but also improve the condition of the item 
so they are renewed for their new location?  How do you provide adequate 
tracking to assure the appropriate reshelving of collections in the new space 
allowing growth sp
 ace and good signage to help patrons find their way to what they need.
How does the library provide access to information during the storage of 
collections before and during the move and before they are restored to the 
shelf and the new facility is open?  For patrons the need for resources does 
not stop during that time of closing a facility and before the opening of the 
new space.  How does a library provide that access to information while the 
move is in process?  How do you avoid losing patrons during closure? After the 
reopening what issues need to be explored to continue to provide continuous 
improvement in the new space?

This session is a collaboration of Preservation and Conservation Section and 
Rare and Special Collections Section and will be 2 hours in length and is an 
open session.

Proposals will be evaluated on their quality (relevance to the topics, and the 
variety of topics to cover many "moving" topics of concern.
Important dates and timelines

*         Submission of proposal: March 15, 2017

*         Notification to authors: April 28, 2017

*         Submission of full text: June 30, 2017

Speakers will have 15 minutes to present their results and 5 minutes for a 
question and answer period during the conference session.

Submissions

Proposals should be sent via email by March15, 2017 to:

The subject line of all submissions should be "IFLA_PCS_" followed by your last 
name. For example, "IFLA_PCS_drewes.doc".

Proposals should include the following information:

 *   Name, title, and institution of speaker(s)
 *   Title of proposed presentation
 *   Address and email address of speaker(s)
 *   Brief biographical statement about each speaker including information 
about the qualifications of the speaker to address the proposed topic
 *   One or two paragraph discussion of the main points of the paper including 
an outline of the takeaways a conference attendee will obtain by having the 
topic presented at the conference
 *   All presentations must be in English
 *   Contact information for response to the proposal
 *   Word document in 12 point type, no more than one page proposal, 
biographical statement excluded.

Important dates

All proposals must be received by March 15, 2017.

The authors will be required to submit the full, at least 5 pages paper for 
inclusion in the program. It must be written in one the official languages of 
IFLA and due by 30 June 2017.

Please note

The committee is looking for papers that present real-world solutions. Papers 
that focus on solutions that are usable in multiple library contexts will 
receive higher consideration for inclusion in the conference program. Papers 
that are strictly theoretical or inapplicable to other environmental contexts 
are less likely to be accepted for inclusion in the program.

Authors are required to permit non-exclusive publication of papers chosen for 
this session on the IFLA website and digital library. Papers that are accepted 
but not presented in person at the conference will not be made available on the 
official conference website nor will they be considered for nomination as a 
best paper of the conference. Papers cannot have been presented or published 
previously.

At least one of the paper's authors must be present to deliver a summary of the 
paper during the program in Poland. Abstracts should only be submitted with the 
understanding that the expenses of attending the conference will be the 
responsibility of the author(s)/presenter(s) of accepted papers.

All papers that are presented at the WLIC 2017 will be made available online 
via the IFLA Library<http://library.ifla.org/> under the Creative Commons 
Attribution 4.0 license<https://creativecommons.org/licenses/by/4.0/>.

Authors of accepted papers must complete the IFLA Authors' Permission 
Form<http://forms.ifla.org/node/add/wlic-authors-permission-form>.

All expenses, including registration for the conference, travel, accommodation 
etc., are the responsibility of the authors/presenters. No financial support 
can be provided by IFLA, but a special invitation letter 
<http://2016.ifla.org/registration/letter-of-invitation-visa-requirements> can 
be issued to authors.
